SERVICE ACCESS & FAIR USE · Workflow idea

Give each customer the access their role allows.

Set clear rules for who may use each service and how much activity is appropriate. Eligible requests proceed within those limits; requests from unknown accounts, outside a person’s permissions, or beyond their allowance receive a clear refusal.

01 / The starting point

A clear request.
A useful direction.

A request from a customer using your service

“Check that the customer is recognized, confirm their role permits the requested action, and keep their use within the limit set for that role.”
An example request · Make it specific to your team.

02 / The work

6 tasks.
One useful outcome.

Applies account, role, and usage rules to customer requests before they reach the service responsible for handling them.

  1. Recognize the requesting account

Confirm that the request belongs to a known customer account before considering access.

  2. Check what the role may do

Compare the requested action with the permissions your team has approved for that customer’s role.

  3. Apply a fair-use allowance

Keep a customer’s activity within the usage limit and time period assigned to their role.

  4. Decline requests that do not qualify

Return a clear outcome when the account is unknown, the action is not permitted, or the allowance has been reached.

  5. Pass eligible requests to the right service

Send requests that meet the account, permission, and usage rules to the responsible service and return its result.

  6. Show the remaining allowance

Give the customer a useful view of their applicable limit and remaining permitted activity.

03 / The result

Keep in mind

Access depends on the account details and policies your team maintains. Review role assignments, permitted actions, and fair-use limits carefully; a refusal should not silently grant an exception.

04 / Make it yours

Set the brief.
Set the standard.

A few choices shape the work around your team.

Define customer roles and account status

Document the roles customers may hold and the account information used to recognize them.

Set action permissions

List which roles may use each service action, and decide how unknown or unlisted requests should be handled.

Choose fair-use limits

Set an activity allowance and time period for each role, along with the customer-facing explanation when a limit is reached.

Review allowed and declined cases

Test a recognized account, an unknown account, an unpermitted action, and an exceeded allowance before relying on the access rules.
