FRONTLINE ONBOARDING · Workflow idea

Make onboarding steps clear from a worker’s phone.

Welcome each worker, explain which documents and policy steps are needed, and keep the coordinator informed about progress. Document details should be reviewed by a person before they are treated as verified.

01 / The starting point

A clear request.
A useful direction.

A worker starts a conversation in the selected messaging channel

“Guide a worker through the required document submission and policy acknowledgment, keep their onboarding status current, and alert the manager when help is needed.”
An example request · Make it specific to your team.

02 / The work

6 tasks.
One useful outcome.

Welcomes workers, shares a document checklist, records uploaded documents and readable details, asks the worker to acknowledge a policy, and provides next-step information after that acknowledgment. It also identifies stalled onboarding for follow-up.

  1. Welcome the worker and explain the steps

Share the onboarding checklist and let a returning worker know which steps are already recorded.

  2. Collect required documents

Let the worker submit the requested document or image and keep the original with the appropriate restricted onboarding record.

  3. Summarize what was submitted

Capture readable document details and whether the material appears legible, while keeping the status as submitted until a person checks it.

  4. Ask for explicit policy acknowledgment

Share the relevant policy summary and wait for the worker’s clear acknowledgment before moving to the next onboarding step.

  5. Share confirmed next-step information

After acknowledgment, provide the supplied shift details and notify the manager that the worker has reached that stage.

  6. Follow up on stalled onboarding

Identify workers whose onboarding has remained incomplete for more than the agreed period and send a reminder with a manager alert.

The handoff

A tracked onboarding record with submitted document details, an explicit policy acknowledgment, and clear follow-up for the worker and manager.

Keep in mind

A document summary or readability result is not proof of identity or eligibility. Restrict access to sensitive documents and require an authorized person to review them before marking them verified. The worker must explicitly acknowledge the policy before proceeding.

04 / Make it yours

Set the brief.
Set the standard.

A few choices shape the work around your team.

Prepare the onboarding record

Choose a restricted place to track worker identity details, document status, dates, notes, and onboarding progress.

Set the document and review process

List required documents, identify authorized reviewers, and keep document verification as a human decision.

Write the policy and worker messages

Provide the accurate policy summary, acknowledgment wording, document checklist, and confirmed shift information workers should receive.

Choose manager alerts and reminders

Name the manager who receives updates and set when incomplete onboarding should be brought to their attention.
